What's new in this version:

Overall: OmniPilot Agency 4.2 is organized into 12 sections, each providing useful organization and communication tools. Specific sections include: Prospects, Clients, Calendar, Active Jobs, Vendors, Time, Workstations, Personnel, Handbook, Invoicing, Templates and Reports.

Here are the Top Twelve new features or enhancements that have been made in upgrading the software to OmniPilot Agency 4.2:

  • NEW: Main Menu streamlined and enhanced preferences throughout the system.

  • NEW: Estimate Templates - allows you to save an Estimate as a template to reuse information for future Jobs, including:
    Scope of the work, personnel with billing category and number of hours, and outside expenses. When selected, the Estimate Template can be modified, eliminating the need to create a new Estimate each time for similar jobs.

  • NEW: Customizable Specification Sheets (for printing, online, etc.) now includes multiple Spec Templates, which can be customized for different departments or different types of Jobs, and can be picked up from Estimates and Jobs.

  • NEW: Production Schedule Templates allows you to save a Production Schedule as a template to reuse and modify for future jobs. When selected, enter the Start Date, and all other due dates are automatically calculated and placed on the agency's production calendar. Weekend dates are automatically moved to the following Monday.

  • NEW: Customizable Project Brief - this new version now accommodates multiple Project Briefs, which can be associated with a department or job type.

  • NEW: Client Brand Brief - can now be created for each client.

  • NEW: A new Production Calendar has been added to show all production schedule tasks in a calendar view. All jobs for the entire agency, or a single job may be viewed, including all due dates.
  • NEW: Meeting Calendar has been updated with new print layouts; End Time has been added to the calendar, which calculates the duration of a meeting, useful for booking conference rooms.

  • NEW: New ways to make time entry easier based on user preference, including: Ability to pick up Job Numbers from the previous week's Time Sheet. Show all open jobs, or just the ones in your department. Updated Productivity Report to include Total Productive, Total Billable and Total Client Non-Billable.

  • NEW: Centralized Reports area now accessible through the Main Menu. Many new Reports, including: Gross Profit, Enhanced Productivity, Trafficking, Production, Estimate, Job Report and more throughout Agency 4.2.

  • NEW: Mail Merge capabilities - added automatic merge fields to all Form Letters, including First Name, Last Name, Company, Industry, Referred By, etc. Can now search all Contacts, regardless of whether they are a Client, Prospect or Vendor, from a single location.

  • NEW: Because of high demand from many Canadian firms using Agency, added: Country, Province and Postal Codes added to all Clients, Prospects and Vendors. Federal and Province Tax Rates available on all Estimates and Invoices, including service items. Ability to invoice clients, automatically converting to Canadian or U.S. dollars.
