In today's world, everything is digital. From shopping receipts to important research papers, your life often fills your hard drive in the form of emails, PDFs, Word documents, multimedia files and more. Questions eventually pop up, like where do you store all of this stuff? It's almost as if you need a second brain just to keep your digital life straight.

DEVONthink is the solution to the digital age conundrum. It is your second brain, the one and only database for all your digital files, be they PDFs, emails, Word docs or even multimedia files. Boasting a refined artificial intelligence, DEVONthink is exceedingly flexible and adapts to your personal needs. And if the files are not digital yet, digitize them with DEVONthink Pro Office.

Use it as your document repository, your filing cabinet, your email archive, or your project organizer; DEVONthink can do it all. DEVONthink Professional Office extends DEVONthink Pro with three additional modules: Pro-grade email archiving, paper capture including optical character recognition, and integrated web sharing (search only.)

What's new in this version:

  • NEW: Quick Look preview of audio files contains play, plause, and mute buttons. Uses Play automatically preference for QuickTime media.
  • NEW: Services updated for compatibility with new system services (services appearing in contextual menus).
  • NEW: Dock menu uses indentation.
  • Improved: Scroll bars in head-up display styles, e.g. the Groups panel, support arrows at top and bottom.
  • Improved: Display of icon previews created by Quick Look, e.g. for web archives.
  • Improved: Overall compatibility to Mac OS X 10.6 'Snow Leopard'.
  • Fixed: Incompatibility of Apple Mail conduit plugin.
  • Fixed: Compatibility issues of OCR and scan functions.
  • Fixed: The Image Capture application can use DEVONthink Pro Office again as a target application.
  • Fixed: Automator workflows did not work.
  • Fixed: Editing of smart groups did not work.
  • Fixed: Quick Look panel did not work.
  • Fixed: Quick Look based views did not work in full screen mode.
  • Fixed: Duplicate Remove Link items in contextual menus of rich texts.
  • Fixed: Minor visual glitches.
  • Temporarily disabled: Defunct option Global Inbox in Save Dialogs of Help > Install Add-ons panel.
  • Removed: Now obsolete services menu in contextual menus of various views.
  • From this release on all editions of DEVONthink require Mac OS X 10.5 or later. This beta expires December 31, 2009.
  • NEW: Instances pop-up menu listing all enclosing groups for this item and all duplicates. Selecting a location in the menu reveals it.
  • NEW: Command-clicking the title of main, document, and search windows list all enclosing groups of the shown document. Selecting an enclosing group opens the group in the main window or opens a new window for it.
  • NEW: Menu option to clear the recent destinations.
  • NEW: Number of pages of PDF documents without (!) text is used to recognize duplicates. Note: This applies only to documents imported/indexed/created using 2.0pb7 or later.
  • NEW: Services and the PDF Services script try to capture the URL from Firefox again. Due to limitations and bugs of Firefox 3.x, this might or might not work for you.
  • NEW: Support for Internet locations (e.g. .webloc) using the data fork.
  • NEW: '.sdef' added to list of known text/XML extensions.
  • NEW: Custom icons of files/folders with at least 64x64 pixels are added to the database while importing/indexing (used e.g. by templates).
  • NEW: (Insert) Link To sub-menus of contextual menus contain last destinations.
  • Improved: Shortcut of Edit > Paste with Current Style is now identical to the ones used in Apple's applications.
  • Improved: Revised appearance of non-editable fields in Document Properties panel.
  • Improved: See Selected Text renamed to See Related Text.
  • Improved: It is now possible to drag items on groups in classify and search results.
  • Improved: Edit > Find > In Database shows the toolbar if necessary.
  • Improved: Inbox can be moved in unsorted views but only at the top level of the database.
  • Improved: Handling of window positions and sizes; improved cascading.
  • Improved: Log panel does no longer become active automatically anymore.
  • Improved: Orphaned files that could not be imported while repairing are logged and moved to the folder 'Orphans' inside the database package/folder.
  • Improved: Overall performance and stability.
  • Fixed: Results of duplicating/replicating multiple selected and nested groups was kind of unexpected.
  • Fixed: Total size in Database Properties panel was not correct.
  • Fixed: Depending on active/focused view in three-pane views, different destinations for new/captured items were used.
  • Fixed: Smart groups using only tags did not apply the 'Search in' setting.
  • Fixed: After emptying the trash containing replicants, tabs/windows displaying other replicants of the same record were invalidated.
  • Fixed: Rare glitches after expanding basic/additional information of Info panel fixed.
  • Fixed: Various other minor bugs and glitches.
  • NEW: Support for the apparent date the mail program received a message. (Mail Import)
  • Improved: Robustness when adding a large number of messages. (Mail Import)
  • Improved: Scan selection in scan setup sheet.
  • Improved: Robustness of the OCR queue. (OCR)
  • Improved: Feedback in dialog windows and the log. (OCR)
  • Fixed: Issue undoing page deletion with pages that were rotated by the OCR.

There is nothing quite like this program and V2 is going to be even better.

I've been using this now with my all-in-one color laser machine to keep track of all of those documents and other bits of information that a person in the digital age seems to collect constantly. Contracts, warrantees, invoices, tax information, membership information, personal info, etc.

I really appreciate the OCR ability so I can turn nearly anything into a searchable document. OCR isn't perfect, of course, but it does the trick in most cases.

While the Pro Office version is priced out of the range of most people, it is a handy tool and thanks to the fact the Devon Technologies offers an upgrade path from each version of their product to the next makes it a bit easier for people to slowly trade up as their needs grow.

I tried looking for a program like this for Windows and there isn't anything even remotely close. The reciept and page managers don't do half of what DTPO can.

I had used DEVONthink Personal initially and then moved up to Pro and, finally, Pro Office. Although it was an application I used every day, I wasn't getting that warm fuzzy feeling. I searched around and purchased a competing application, Together, and thought I had found true love. Then the beta of DEVONthink Pro Office 2 was announced, and I decided to give the relationship another try. These guys have REALLY been hard at work! Love reborn! New and improved features are too numerous to mention, but I must say it does for my workflow what moving from dial-up to cable did for my web browsing. And they're not done yet! Try it, spend some time with it, kick the tires, burn some rubber. Print to DEVONthink instead of paper, and help save the forests. This baby rocks! (Sorry for the overabundance of metaphors. I couldn't resist.)

DEVONthink Pro Office Usage TipCrashes a lot on Snow Leopard - Version: 2.0pb6, 9/10/2009 09:13PM PST

I've had to cease using DTP on Snow Leopard since it crashes not long after opening it. Just a heads up for anyone reliant on DTP who's also considering upgrading to 10.6.
